Let One Record Pull Everyone Linked to It Into Follow-Up

Two workflow actions let an automation reach the records linked to whatever triggered it: Add Associated Records to Workflow and Remove Associated Records to Workflow. When a job record changes status, the supplier attached to it can be pulled into its own follow-up automatically, and dropped again when the job closes.

What do these two actions do?

Add Associated Records to Workflow enrols every record linked to the triggering record into a workflow you choose. Remove Associated Records to Workflow does the opposite and unenrols them. Both work in contact-based, company-based and Custom Object-based workflows.

How do I set one up?

Each action asks the same three questions: which kind of record to reach, which relationship to follow, and which workflow to put them into. Set those and publish.

1. Open the workflow and add either Add Associated Records to Workflow or Remove Associated Records to Workflow.
2. Select the object: Contact, Company or a Custom Object.
3. Choose the association label, which is the relationship you want followed.
4. Pick the target workflow the records should join or leave.
5. Save and publish.

What can I use this for?

Anywhere one record standing for a job, an asset or an account has people attached to it who need telling something. A few worked examples:

• A vehicle record is marked Ready for Sale, and the dealers linked to it join a notification workflow. When it is marked Sold, they are removed so the alerts stop.
• A student record triggers a workflow, and the parents linked to that student join a term-start reminder. When the student graduates, they are removed.
• A company joins your priority customer programme, and every employee linked to it joins the matching communication workflow. When the company goes inactive, they come out again.

What do I need in place first?

Your association labels have to exist before these actions can use them, because the label is what tells the action which relationship to follow. At least one matching association must exist on the record, or the action has nothing to act on and does not run.

• Removals take effect immediately.
• To put a record back afterwards, use a separate Add Associated Records to Workflow action.
• Contacts, Companies and Custom Objects are all supported.
