Best CRM for Small Businesses in Kenya (2026): Honest Comparison

September 26, 2026

Disclosure: this guide is published by Ignite Funnels, one of the tools compared. We have tried to be fair, and we say plainly where a competitor is the better choice. Prices were checked on official sites in September 2026 and can change, so confirm before you buy.

Short answer: For a solo owner or very small team on a tight budget, start with a free CRM: HubSpot Free (2 users, 1,000 contacts) or Zoho CRM Free (3 users). If you want a low-cost Kenyan tool with M-Pesa payments and KRA eTIMS support built in, Elona CRM starts at KES 350 per month. If you want a growing sales team on a simple pipeline, Bigin by Zoho is affordable at USD 7 to 21 per user per month. If you want the CRM, WhatsApp, email, funnels, bookings and M-Pesa in one system, Ignite Funnels self-serve plans start at KES 1,597 per month plus VAT. If you want someone trained to run it for you, the separate Ignite Funnels done-for-you service costs KES 40,000 per month, VAT inclusive.

The right choice depends less on features and more on one question: who in your business will actually use the CRM every day?

HubSpot

HubSpot's free CRM is genuinely useful: contact records, deal pipelines, email tracking and forms, free for up to 2 users and 1,000 contacts with no card required. Its Starter Customer Platform lists at USD 20 per seat per month, and HubSpot was running promotional discounts for new customers when we checked.

Where it falls short in Kenya: we found no native M-Pesa collection on HubSpot's own pages, so payment tracking usually needs a third-party connector or custom development. Costs also climb fast once you need marketing automation on Professional tiers.

Choose HubSpot if: you want the best free CRM, you sell mainly by email and calls, and you do not need M-Pesa inside the CRM.

Zoho CRM

Zoho CRM is free for up to 3 users, which makes it one of the most generous free editions available. Paid plans (Standard, Professional, Enterprise) are priced per user and Zoho shows different prices by region, so check current pricing for your account. Local taxes are charged on top.

For M-Pesa, the Zoho route is Zoho Books Kenya edition, which supports Safaricom M-Pesa on invoices using your own Daraja credentials and business shortcode. That works well if you also want Zoho for accounting.

Choose Zoho CRM if: you have a structured sales process, someone comfortable configuring software, and you like the idea of one vendor for CRM and accounting.

Bigin by Zoho

Bigin is Zoho's lightweight CRM for small teams. Pricing is clear:

  • Free: 1 user, 500 records
  • Express: USD 7 per user/month billed yearly (USD 9 monthly)
  • Premier: USD 12 billed yearly (USD 15 monthly)
  • Bigin 360: USD 18 billed yearly (USD 21 monthly)

Bigin connects to Zoho Books, which is how you get M-Pesa invoice payments.

Choose Bigin if: you are a 2 to 10 person team moving off Excel or a notebook and you want a clean pipeline your team will actually open.

Elona CRM

Elona CRM is a Kenyan-built business tool focused on invoicing in KES, client records, lead tracking, expenses, M-Pesa payments with automatic reconciliation, and KRA eTIMS compliance. Pricing:

  • Starter: KES 350/month, 1 staff account, 50 clients
  • Pro: KES 850/month, 3 staff accounts, 200 clients, 100 leads
  • Expert: KES 1,999/month, 10 staff accounts, unlimited

All plans come with a 14-day free trial.

Choose Elona if: you are a micro business whose biggest pain is invoices, payments and tax compliance rather than marketing follow-up. At these prices it is hard to beat.

Ignite Funnels

Ignite Funnels is an all-in-one sales and marketing platform: CRM and pipelines, WhatsApp, email, Facebook and Instagram messages in one inbox, websites and funnels, booking calendars, automated follow-up, and M-Pesa plus card payments. It comes two ways:

  • Self-serve plans: Starter KES 1,597, Basic KES 2,597 and Boss KES 3,597 per month, plus VAT. You set up and run the system yourself. See ignitefunnels.ke for what each plan includes.
  • Done-for-you service: the system plus a trained operator who sets it up and keeps it running, for KES 40,000 per month, VAT inclusive. This is a separate product for owners who do not have time to run software.

We offer the operator option because we have watched the same pattern many times: an owner buys powerful software, uses it as a contact list, and cancels within weeks. The operator is what keeps leads followed up and payments tracked.

Be honest with yourself: if you have time to learn the tool, a self-serve plan costs about the same as the cheaper CRMs above and adds WhatsApp, funnels and payments. If you will not open the software every day, the done-for-you service makes sense when missed follow-ups are costing you more than the fee.

Choose Ignite Funnels if: leads come from WhatsApp, Facebook and calls and you want marketing, sales and payments in one place. Pick self-serve if you will run it yourself, or done-for-you if nobody on your team has time.

How to choose: a quick checklist

  • ☐ Who will use it daily? If nobody, choose a done-for-you option or keep it very simple.
  • ☐ Where do your customers talk to you? If most leads arrive on WhatsApp, check how the CRM handles WhatsApp and what the per-message costs are.
  • ☐ How do customers pay? If M-Pesa is most of your revenue, confirm native M-Pesa or a tested integration before you sign up.
  • ☐ Do you need eTIMS invoicing? Elona and Zoho Books cover this directly.
  • ☐ Total monthly cost in KES: convert USD per-user prices at today's rate, multiply by users, and add 16% VAT where it applies.
  • ☐ Setup time: who will import contacts, build the pipeline and write the follow-up messages?
  • ☐ Free trial or free plan: test with real leads for two weeks before committing.
  • ☐ Data protection: make sure you can record consent and honour opt-outs under Kenya's Data Protection Act.

FAQ

What is the best free CRM for a small business in Kenya?

HubSpot's free CRM (up to 2 users and 1,000 contacts) and Zoho CRM's free edition (up to 3 users) are the strongest free options. Bigin by Zoho has a free plan for one user with 500 records. Free plans do not include native M-Pesa collection, so most Kenyan businesses outgrow them once they want payments and automated follow-up together.

Which CRM integrates with M-Pesa in Kenya?

Elona CRM advertises built-in M-Pesa payments with automatic reconciliation. Zoho Books (Kenya edition) supports M-Pesa on invoices and connects to Zoho CRM and Bigin. Ignite Funnels accepts M-Pesa and card payments inside the same platform as the CRM. HubSpot does not list native M-Pesa support.

How much does a CRM cost in Kenya per month?

From free (HubSpot, Zoho CRM and Bigin free plans), to KES 350 to KES 1,999 per month for Elona CRM, to USD 7 to 21 per user per month for Bigin paid plans. Ignite Funnels self-serve plans start at KES 1,597 per month plus VAT; its separate done-for-you service with a trained operator is KES 40,000 per month VAT inclusive.

Can a CRM send WhatsApp messages to customers in Kenya?

Yes, usually through the official WhatsApp Business Platform, which charges per message. Ignite Funnels includes WhatsApp in its shared inbox; other CRMs typically need an add-on or a provider such as Africa's Talking or Celcom Africa. From 1 October 2026, Meta also charges for utility replies inside the 24-hour window in Kenya.

Do I need a CRM if I already use WhatsApp Business?

If you have a few dozen active leads and one person answering, the free WhatsApp Business app and a spreadsheet can work. Once leads get lost, follow-ups are missed, or more than one person serves customers, a CRM pays for itself.
