Decide Exactly What Your Staff Can Do With Gift Cards

What is new

You can now control exactly which members of your team can see and do what with gift cards. Instead of giving every user the same level of access, you can match permissions to each person's responsibilities. That protects gift card balances, customer information, and sensitive actions such as issuing or deactivating a card.

The new gift card permissions give you control over:

• View Gift Card Orders - see the list of issued gift cards and their order information.
• View Gift Card Products - open gift card products and see how they are configured.
• Create/Edit Gift Card Products - create new gift card products or change existing ones.
• Access Sell Link / Share via QR - get and share the sell link or QR code for a gift card product.
• Send Gift Cards - issue gift cards to customers directly through the send flow.
• View Full Gift Card Code - decide who can reveal the complete gift card code from the details page.
• Access Gift Card Details Page - open the full details of an individual gift card order.
• Delete/Deactivate Gift Cards - control who can delete or deactivate a card.

A few more things worth knowing:

• Gift card permissions also support assigned-data granularity. For users, you can choose to show only the records assigned to them rather than everything, even where they have access to the page.
• Permissions apply to the buttons on screen and to the actions behind them. A support assistant can be allowed to view gift card orders without being able to send cards, change products, or reveal the complete code.
• The full gift card code is protected separately, so a staff member without that specific permission cannot read it from the order details page.

Where to find it

• Go to Settings, then My Staff, select the staff member, click the edit icon, then Roles & Permissions, then Gift Cards.
• From the Gift Cards section, tick the permissions that suit that person.
• Admins keep full access by default. Every other role can be set up with only the gift card abilities they actually need.

More gift card permissions will follow as new gift card features are added.
