How to Add a Team Member

September 26, 2026

Adding team members gives employees, contractors and other authorised people access to the Ignite Funnels tools they need. This guide shows how to create a team member, choose the right role and permissions, and give them secure access.

Security reminder: every person should have their own login. Never share passwords or use one login for several people.

Before you begin

  • You have permission to manage users.
  • You are in the correct Ignite Funnels account or location.
  • You have the person's correct name and email address, and it is not already used by another user in your account.
  • You know which tools and information they need.

Add the team member

  1. Sign in, check you are in the right account, and click Settings in the main menu.
  2. Click My Staff. This lists everyone who has access. If you cannot see My Staff, your role does not include user management; ask an administrator.
  3. Click Add Employee.
  4. Fill in their first name, last name, email, phone number (use the +254 format for Kenyan numbers) and any other required details. Check the email carefully, because the login invitation goes there.
  5. Choose a role: Admin or User (see below).

Admin or User?

  • Admin: for trusted owners, managers or team leads who need broad control of tools, settings and data, including customer information, conversations, calendars, opportunities, workflows, websites and funnels, payments, reports, integrations and team management.
  • User: for employees, assistants, support agents, sales reps and contractors. They only get the permissions you switch on, for example managing contacts, replying to conversations, managing appointments or updating their own opportunities.

Admin access includes sensitive business and customer data, so do not give it for convenience. For most people, choose User and turn on only what they need.

Set roles and permissions

  1. In the team member's profile, open Roles and Permissions.
  2. Switch on only the areas they need, such as contacts, conversations, calendars, opportunities and pipelines, marketing, workflows, websites and funnels, forms and surveys, reputation, payments, reporting, integrations, account settings or user management. Some areas have separate view, create, edit, delete or export options.

Take extra care with payments and billing, customer data exports, workflows, integrations, account settings, user management and deleting records. Give people only the access they need to do their job.

Limit what records they see

  1. Turn on Only Assigned Data if the person should only see records assigned to them, such as their contacts, opportunities, appointments and tasks. This suits sales reps, support agents, contractors and assistants who do not need your whole customer database.

Important: permissions control which parts of Ignite Funnels a person can open. Only Assigned Data controls which records they see inside those parts.

Save and invite

  1. Check the name, email, role, permissions and Only Assigned Data setting.
  2. Click Save.

The team member receives an email with instructions. Ask them to open it, check it comes from Ignite Funnels, create their password if asked, sign in at app.ignitefunnels.com, and confirm they can use the tools they need.

If the invitation does not arrive

Ask them to wait a few minutes, check spam, junk and promotions folders, search for Ignite Funnels, and confirm the email address. As an administrator, open Settings > My Staff, find the person, check their email and resend the invitation if that option is available.

Check their access

Once they sign in, confirm they see the right account, the tools they need appear in their menu, they can do the tasks their role needs, restricted areas are hidden, and assigned records show correctly if Only Assigned Data is on. Fix any problems before they start working with customer data.

Common issues

  • Add Employee is missing: ask an administrator to check your user management permission.
  • Invitation went to the wrong email: correct the email or recreate the user.
  • Team member cannot see a feature: review their role and permissions.
  • Team member sees too much: reduce permissions or turn on Only Assigned Data.
  • Cannot see an assigned record: check the record is assigned to the right person.
  • Email already in use: check whether they already have an Ignite Funnels login.
  • Changes do not show: save, then ask them to sign out and back in.
  • Cannot sign in: ask them to reset their password or contact Support.

Update or remove access

When responsibilities change, go to Settings > My Staff, select the person and open Roles and Permissions to change their role, permissions or assigned data access. Save, and ask them to sign out and back in if the change does not appear.

Remove or deactivate access promptly when someone leaves, a contract ends, they no longer need access, or their login may be compromised. Do not delete a user or their records unless your business has confirmed deletion is appropriate.

Security good practice

  • One login per person, and never share passwords.
  • Give each role only what it needs, and avoid Admin for convenience.
  • Review permissions when roles change and remove leavers quickly.
  • Keep at least one trusted administrator with user management access.
  • Never send passwords by email, messaging apps or support requests.

Frequently asked questions

Can I give someone access to only one feature?

Yes. Make them a User and switch on only that permission.

Can I change permissions later?

Yes. Open their profile under My Staff, update and save.

Should my assistant be an Admin?

Only if they truly need broad control of the account. Otherwise make them a User with the permissions they need.

Can team members share one login?

No. Each person needs their own login and password.
